How to Convert Email to Calendar Event (Gmail, Outlook, Apple Mail)

You receive an email with flight details, a restaurant reservation, or a meeting confirmation. Instead of manually copying the date, time, and location into your calendar, there are faster ways to convert that email directly into a calendar event.
This guide shows you how to automatically and manually convert emails to calendar events in Gmail, Outlook, and Apple Mail.
Gmail: Automatic Event Creation
Gmail automatically detects events in your email and adds them to Google Calendar—no setup required.
How Gmail Auto-Creates Events
When you receive emails with:
- Flight confirmations (airlines, booking sites)
- Hotel reservations
- Restaurant bookings (OpenTable, Resy, etc.)
- Event tickets (Eventbrite, Ticketmaster)
- Meeting invitations
Gmail scans the email, extracts event details, and creates a calendar entry in Google Calendar.
Where to Find Auto-Created Events
In Gmail:
- Open the confirmation email
- Look for a View in Calendar link or calendar icon at the top
- Click to see the event in Google Calendar
In Google Calendar:
- Go to calendar.google.com
- Look for events labeled "From Gmail" (often in a lighter color)
- These events sync across all devices
Customize Gmail Event Detection
Enable/Disable Automatic Events:
- Open Google Calendar Settings
- Scroll to Events from Gmail
- Toggle Automatically add events from Gmail
- Choose which types of events to auto-add:
- Flights
- Hotel reservations
- Restaurant reservations
- Events
Why you might disable it:
- Too many unwanted events cluttering your calendar
- Privacy concerns (sharing calendar with others)
- Prefer manual control
Manually Create Event from Gmail
If auto-detection didn't work, create an event manually:
Method 1: Quick Add
- Open the email in Gmail
- Click the three dots (⋮) at the top right
- Select Create event
- Gmail opens a new event with the email subject as the title
- Edit time, date, and details
- Click Save

- Open Gmail and Google Calendar side-by-side
- Drag the email from Gmail inbox
- Drop it onto the date/time in Google Calendar
- Edit event details

Outlook: Email to Calendar
Outlook offers multiple ways to convert emails to calendar events, with smart detection for meeting invitations.
Automatic Meeting Requests (ICS Attachments)
When someone sends you a meeting invite as an .ics file attachment:
- Open the email
- Outlook displays Accept, Tentative, or Decline buttons at the top
- Click Accept
- The event is added to your Outlook Calendar automatically
- A response is sent to the organizer
Create Event from Email (Manual)
Method 1: Drag to Calendar (Desktop)
- Open Outlook desktop app
- Click the email you want to convert
- Drag the email to the Calendar icon in the bottom-left navigation
- Outlook creates a new event with:
- Subject: Email subject
- Location: Empty (add manually)
- Body: Full email content copied into event notes
- Edit date, time, and details
- Click Save & Close
Method 2: Quick Steps (Windows)
Create a custom Quick Step to automate email-to-event conversion:
- Go to Home tab → Quick Steps → Create New
- Name it: "Create Calendar Event"
- Add action: Create an appointment
- Set default details (e.g., 30-minute duration, default location)
- Click Finish
- Select any email, click your Quick Step to create an event
Method 3: Copy to Calendar (Mac)
- Right-click the email
- Select Copy to Folder → Calendar
- Edit the generated event
Outlook Mobile (iOS/Android)
- Open the email
- Tap the three dots (⋮) at the top
- Select Create event
- Outlook pre-fills the title from the email subject
- Add time and date
- Tap Save
Apple Mail: Email to Calendar Event
Apple Mail doesn't automatically create events, but you can manually convert emails to Calendar events.
Method 1: Detected Dates and Times
If Apple Mail detects a date/time in the email:
- Open the email
- Hover over the detected date (it appears underlined)
- Click the small arrow that appears
- Select Create Event
- Apple Calendar opens with a pre-filled event
- Edit details and save
Why it might not work:
- Date format not recognized (e.g., "next Tuesday" vs "Jan 10")
- Email in plain text instead of HTML
- Date buried in long text blocks
Method 2: Manual Event Creation
- Read the email and note event details
- Open Calendar app
- Double-click the date/time to create a new event
- Copy-paste details from email:
- Event title
- Location
- Date and time
- Any additional notes (confirmation numbers, etc.)
- Save the event
Method 3: Use Siri (macOS/iOS)
On Mac or iPhone:
- Open the email
- Say: "Hey Siri, create a calendar event"
- Siri asks for details:
- "When is it?"
- "What time?"
- "What should I call it?"
- Dictate the information from the email
- Confirm to save
Pro tip: Siri can parse natural language, so you can say:
"Create event: Dinner at Olive Garden this Friday at 7pm"
And Siri will fill in all the fields correctly.

Gmail isn't auto-detecting events
Possible causes:
- Feature disabled in settings
- Email not from recognized sender (airline, booking site)
- Event details in attachment instead of email body
Fix:
- Check Google Calendar Settings → Events from Gmail is enabled
- If still not working, manually create the event
Outlook drag-and-drop not working
Cause: Navigation pane collapsed or Calendar view not visible.
Fix:
- Go to View tab
- Ensure Navigation Pane is enabled
- Click Calendar icon in the bottom-left corner
- Try dragging again
Apple Mail not detecting dates
Cause: Email in plain text or date format not recognized.
Fix:
- Ask sender to resend in HTML format
- Manually create event by copying details
- Use Siri to dictate event details
Duplicate events appearing
Cause: Both auto-created (Gmail) and manually created events for the same booking.
Fix:
- Delete one of the duplicates
- Disable auto-creation for that event type if it happens frequently
