How to Add an ICS File to iPhone Calendar (& Mac, iPad)

How to Import ICS Files on Mac

There are three ways to import an ICS file into Apple Calendar on macOS.

Method 1: Using the File Menu (Recommended)

  1. Open Apple Calendar from the Dock or Applications folder.
  2. Click File in the top menu bar and select Import....
  3. Browse for your .ics file and select it.
  4. Choose the destination calendar from the dialog box — pick an iCloud calendar if you want events to sync to your other devices.
  5. Click OK.

Your events will appear in the calendar immediately.

Method 2: Drag and Drop

  1. Open Apple Calendar so it's visible on screen.
  2. Open Finder and locate your .ics file.
  3. Drag the file directly from Finder into the Calendar app window.
  4. Choose the destination calendar and click OK.

This is the fastest method if you already have both windows open.

Method 3: Double-Click the File

  1. Find your .ics file in Finder.
  2. Double-click the file. Apple Calendar should open automatically.
  3. Choose your destination calendar and click OK.

Tip: If double-clicking opens a different app, right-click the file and select Open With > Calendar. To make Calendar the permanent default, right-click any .ics file, select Get Info, change "Open with" to Calendar, and click Change All.

How to Add ICS Files to iPhone Calendar

Adding an ICS file to your iPhone calendar is straightforward — you can do it entirely on your phone without a computer. Here's how, depending on where the file is.

From an Email Attachment

This is the most common way people get ICS files on their iPhone.

  1. Open the email containing the .ics file in the Mail app (or most third-party email apps).
  2. Tap the .ics attachment — it will show a preview of the events.
  3. Review the event details to make sure everything looks right.
  4. Tap Add All at the bottom of the screen.
  5. Choose the calendar you want to add the events to. Pick an iCloud calendar for cross-device sync.

All events in the file will be added at once.

From a Safari Download

  1. Tap a link to an .ics file in Safari (or any browser).
  2. Safari will download the file and show a prompt to add the events.
  3. Tap Add All and choose your destination calendar.

If Safari doesn't show the prompt automatically, open the Files app, navigate to your Downloads folder, and tap the .ics file from there.

From the Files App

  1. If you've saved the .ics file to iCloud Drive, Google Drive, Dropbox, or your device's local storage, open the Files app.
  2. Navigate to the file and tap it.
  3. Tap Add All and select your destination calendar.

Via AirDrop

  1. On the sending device (Mac or another Apple device), select the .ics file and share it via AirDrop.
  2. On your iPhone, accept the AirDrop transfer.
  3. Tap the notification to open the file in Calendar.
  4. Tap Add All and select your calendar.

From a Messages Link or Attachment

  1. If someone sends you an .ics file in iMessage or SMS, tap the attachment.
  2. The Calendar app will open with a preview of the events.

  • Stage Manager / Split View: If you're using iPadOS multitasking, you can open Files and Calendar side by side, then drag an .ics file from Files directly into Calendar — just like on a Mac.
  • External drives: iPadOS supports importing from USB drives and SD cards via the Files app. Plug in your drive, find the .ics file, and tap to import.
  • Keyboard shortcut: If you have a keyboard attached, you can use Cmd + I in Calendar to trigger the import dialog (though this is less reliable than on Mac).

Import ICS via iCloud.com

You can also import ICS files using iCloud's web interface from any browser — even a Windows PC or Chromebook. This is a great fallback if the file won't open directly on your device.

  1. Go to icloud.com in any web browser.
  2. Sign in with your Apple ID.
  3. Click Calendar.
  4. Click the gear icon (⚙️) in the bottom-left corner and select Import.
  5. Browse for your .ics file and select it.
  6. Choose the destination calendar and click Import.

The events will appear in iCloud Calendar and sync to all your Apple devices within a few minutes. This is particularly useful when you receive an ICS file on a non-Apple device but want it on your iPhone or Mac.

Syncing Imported Events Across All Apple Devices

The key to having events appear everywhere is importing to an iCloud calendar (not a local one).

How to Check if You're Using iCloud Calendars

  • On Mac: Open Calendar, look at the left sidebar. Calendars listed under "iCloud" will sync. Calendars under "On My Mac" won't.
  • On iPhone/iPad: Go to Settings > Calendar > Default Calendar. Make sure it's set to an iCloud calendar.

How to Enable iCloud Calendar Sync

  • Mac: Go to System Settings > [your name] > iCloud > Show All and enable Calendars.
  • iPhone/iPad: Go to Settings > [your name] > iCloud > Show All and toggle on Calendars.

Once enabled, any events imported to an iCloud calendar will appear on every device signed into the same Apple ID — usually within a minute or two.

What If You Accidentally Imported to a Local Calendar?

If your events only show on one device, they're probably in a local calendar. Unfortunately, there's no bulk-move feature. Your best options:

  1. Delete the events and re-import the .ics file, this time selecting an iCloud calendar.
  2. For a small number of events, edit each one individually and change the "Calendar" field to an iCloud calendar.

How to Subscribe to a Calendar URL

Subscribing is different from importing. When you import, you get a one-time copy of the events. When you subscribe, the calendar stays connected to the source and updates automatically — great for sports schedules, academic calendars, or team schedules.

Subscribe on Mac

  1. In Apple Calendar, go to File > New Calendar Subscription....
  2. Enter the calendar URL (ending in .ics).
  3. Click Subscribe.
  4. Configure the name, color, and refresh frequency (every 5 minutes, hourly, daily, or weekly).
  5. Set the location to iCloud if you want the subscription to appear on all your devices.

Subscribe on iPhone and iPad

  1. Go to Settings > Calendar > Accounts.
  2. Tap Add Account > Other.
  3. Select Add Subscribed Calendar.
  4. Enter the URL in the Server field and tap Next.
  5. Adjust the description and other settings, then tap Save.

Import vs. Subscribe: Import creates a snapshot — the events are yours to edit and they'll never change. Subscribe creates a live link — events update automatically, but you can't edit individual events. Choose based on whether the source calendar changes over time.

Troubleshooting ICS Import Errors in Apple Calendar

ICS File Won't Import or Shows "No Events Found"

  • Check the file extension. It must end in .ics, not .txt, .ical, or .zip. Rename it if needed.
  • Validate the file. The file may be malformed. Use our free ICS Validator to check for formatting errors, missing fields, or encoding issues.
  • Inspect the contents. Open the file in a text editor (TextEdit on Mac, or any notes app on iPhone). It should start with BEGIN:VCALENDAR and contain at least one BEGIN:VEVENT block. If it starts with HTML or looks garbled, the download was corrupted — try downloading again.
  • Check the file size. Very large ICS files (10,000+ events) can cause Calendar to hang. Try splitting the file into smaller batches.

Events Showing at the Wrong Time

This is one of the most common issues, especially with ICS files from other time zones.

  • Enable Time Zone Support:
    • Mac: Go to Calendar > Settings > Advanced and check Turn on time zone support.
    • iPhone/iPad: Go to Settings > Calendar > Time Zone Override and enable it. Set it to your current time zone.
  • Check the file's timezone data. Open the .ics file in a text editor and look for DTSTART and DTEND values:
    • If they end in Z (e.g., DTSTART:20260315T140000Z), they're in UTC and should convert correctly.
    • If they include TZID= (e.g., DTSTART;TZID=America/New_York:20260315T100000), they reference a specific timezone.
    • If they have no timezone indicator (e.g., DTSTART:20260315T100000), Calendar will assume your local timezone, which may be wrong.
  • Use our ICS Validator to inspect the timezone data in your file and verify it's correct.

Recurring Events Not Importing Correctly

  • Apple Calendar supports the RRULE property for recurring events. If your repeating events aren't showing up correctly:
    • The recurrence rule may be malformed. Validate the file to check.
    • Some complex recurrence patterns (e.g., "third Wednesday of every month except July") may not be supported by all calendar apps.
    • If only the first occurrence appears, the RRULE might be missing or contain unsupported syntax.

Events Imported to the Wrong Calendar

  • Apple Calendar asks you to choose a destination during import. If you missed this step, events went to your default calendar.
  • To change the default: Settings > Calendar > Default Calendar (iPhone/iPad) or Calendar > Settings > General > Default Calendar (Mac).
  • For a small number of events, edit each one and change the Calendar field. For large imports, it's faster to delete and re-import to the correct calendar.

Duplicate Events After Import

  • Importing the same file twice will create duplicates — Apple Calendar doesn't check for existing events.
  • Before importing, search for one of the event names to see if they already exist.
  • To clean up duplicates, you may need to delete events manually. There's no built-in bulk de-duplicate feature.
