How to Import ICS Files into Outlook (Desktop, Web & Mac) — 2026 Guide

Step-by-step guide to importing ICS calendar files into every version of Outlook — desktop, web, new Outlook, and Mac. Includes fixes for common import errors and ICS files that won't open.

Need to import an .ics calendar file into Microsoft Outlook? Whether you are using classic Outlook, the new Outlook for Windows, Outlook on the web, or Outlook for Mac, this guide has you covered with step-by-step instructions and fixes for common import errors.

Quick answer: In classic Outlook for Windows, go to File > Open & Export > Import/Export, select "Import an iCalendar (.ics) file," browse to your file, and click Import. In the new Outlook and Outlook on the web, open Calendar, click Add calendar > Upload from file, and select your .ics file. On Mac, drag and drop the file onto the Outlook calendar.

Import ICS to Outlook Desktop (Classic Outlook for Windows)

Classic Outlook (sometimes called "legacy Outlook") is the traditional desktop app included with Microsoft 365, Office 2021, and Office 2019. If your Outlook has a File menu with Open & Export, you are using classic Outlook.

Method 1: File > Open & Export (Recommended)

This is the most reliable way to import ICS files into classic Outlook.

  1. Open Outlook and switch to the Calendar view (click the calendar icon in the bottom-left navigation).
  2. Click File in the top menu bar.
  3. Select Open & Export > Import/Export.
  4. In the Import and Export Wizard, choose Import an iCalendar (.ics) or vCalendar file (.vcs) and click Next.
  5. Browse to your .ics file and select it.
  6. Outlook will ask whether to Open as New or Import:
    • Import adds the events directly to your existing calendar.
    • Open as New creates a separate calendar with the imported events.
  7. Click Import to merge the events into your default calendar.

Your events should now appear in the calendar view.

Method 2: Double-Click the File

  1. Locate your .ics file in File Explorer.
  2. Double-click it. If Outlook is set as the default handler for .ics files, it will open automatically.
  3. If the file contains a single event, Outlook will show a preview. Click Save & Close to add it to your calendar.
  4. If the file contains multiple events, Outlook will prompt you to Import or Open as New. Select Import.

Tip: If double-clicking opens the file in Notepad or another app instead of Outlook, right-click the file, select Open with > Choose another app, pick Outlook, and check "Always use this app."

Method 3: Drag and Drop

  1. Open Outlook and navigate to the Calendar view.
  2. Open File Explorer and locate your .ics file.
  3. Drag the file from File Explorer and drop it directly onto your Outlook calendar grid.
  4. The events will be added to your default calendar.

Import ICS to New Outlook (Windows)

Microsoft has been rolling out the "new Outlook for Windows" — a redesigned app that replaces the classic desktop client. The new Outlook looks and behaves more like Outlook on the web, and the import process is different.

How to tell if you are using the new Outlook: Look for a toggle labeled "New Outlook" in the top-right corner of the classic app, or check if the interface looks like a web app with a simplified ribbon.

Method 1: Upload from File

  1. Open the new Outlook and click the Calendar icon in the left sidebar.
  2. In the left panel, click Add calendar.
  3. Select Upload from file.
  4. Click Browse, find your .ics file, and select it.
  5. Choose which calendar to import into (e.g., "Calendar") and click Import.

Method 2: Subscribe from Web

If you have a URL to a hosted .ics calendar (rather than a downloaded file), you can subscribe so it stays updated automatically.

  1. Open the Calendar view and click Add calendar.
  2. Select Subscribe from web.
  3. Paste the calendar URL (it should end in .ics).
  4. Give the calendar a name and choose a color.
  5. Click Import.

Subscribed calendars will refresh automatically, so any changes to the source calendar will sync to your Outlook.

Method 3: Drag and Drop

  1. Open the new Outlook to the Calendar view.
  2. Drag your .ics file from File Explorer directly into the calendar area.
  3. Confirm the import when prompted.

Note: The new Outlook does not support the classic File > Open & Export > Import/Export wizard. If you need that workflow, switch back to classic Outlook using the toggle.

Import ICS to Outlook on the Web (Outlook.com / Microsoft 365)

Outlook on the web works the same way whether you are using a free Outlook.com account or a paid Microsoft 365 subscription.

  1. Go to outlook.com and sign in to your Microsoft account.
  2. Click the Calendar icon in the left sidebar.
  3. In the left panel, click Add calendar.
  4. Select Upload from file.
  5. Click Browse and select your .ics file.
  6. Choose the destination calendar from the dropdown menu.
  7. Click Import.

Your events will appear in the calendar immediately.

Subscribe to a Calendar URL on the Web

  1. In the Calendar view, click Add calendar > Subscribe from web.
  2. Paste the .ics calendar URL.
  3. Enter a name for the calendar and pick a color.
  4. Click Import.

This is useful for shared team calendars, sports schedules, or academic calendars that update over time.

Import ICS to Outlook for Mac

Outlook for Mac handles ICS imports slightly differently from the Windows version.

Method 1: Drag and Drop

  1. Open Outlook for Mac and switch to the Calendar view.
  2. Open Finder and locate your .ics file.
  3. Drag the file from Finder directly onto the Outlook calendar grid.
  4. The events will be added to your default calendar.

Method 2: Open With

  1. Find your .ics file in Finder.
  2. Right-click the file and select Open With > Microsoft Outlook.
  3. Outlook will open and display the event. Click Save & Close to add it.

Method 3: File > Import

  1. Open Outlook for Mac.
  2. Click File > Import in the top menu bar.
  3. Select the .ics file and click Import.
  4. Choose the destination calendar and confirm.

Note: If your events need to sync across devices, make sure you are importing into a Microsoft 365 or Outlook.com calendar, not a local "On My Mac" account.

Import ICS to Outlook Mobile (iOS and Android)

Outlook's mobile apps for iOS and Android do not have a built-in ICS file import feature. Here are your best workarounds.

Open an ICS Attachment from Email

  1. Open the email containing the .ics file in the Outlook mobile app.
  2. Tap the attachment.
  3. Outlook will show a preview of the event. Tap Add to Calendar to save it.

This works for single-event ICS files attached to emails. For multi-event files, this method may only add the first event.

Import via Outlook on the Web

For full multi-event ICS imports on mobile:

  1. Open your mobile browser and go to outlook.com.
  2. Sign in and switch to the Calendar view.
  3. Follow the Outlook on the Web instructions above to upload your file.
  4. The events will sync to your Outlook mobile app automatically.

Use the Files App (iOS)

  1. Save the .ics file to the Files app.
  2. Tap the file. iOS may prompt you to add the events to Apple Calendar.
  3. If your Outlook account is connected as a calendar account in iOS Settings, you can select it as the destination calendar.

Troubleshooting: ICS File Won't Open in Outlook

If your ICS file will not import or open in Outlook, work through these fixes.

Outlook won't open the .ics file

  • Check the file extension. Make sure the file ends in .ics, not .ical, .txt, or something else. Rename it if needed.
  • Validate the file. A malformed ICS file will fail to import silently. Use our free ICS Validator to check for formatting errors, missing required fields, or encoding issues.
  • Check file size. Very large ICS files (thousands of events) can cause Outlook to hang. Try splitting the file into smaller batches.
  • Try a different import method. If double-clicking does not work, use File > Open & Export > Import/Export in classic Outlook instead.
  • Repair the file association. If .ics files open in the wrong app, go to Windows Settings > Default Apps, search for .ics, and set Outlook as the default.

Events not showing after import

  • Check the right calendar. After importing, make sure the destination calendar is checked/visible in the left sidebar. Events may have been added to a calendar that is hidden.
  • Look at the correct date range. Imported events may be in the past or far in the future. Try using Outlook's search to find an event by name.
  • Wait for sync. If you imported via Outlook on the web, it can take a few minutes for events to appear in the desktop or mobile app.

Events appear at the wrong time zone

  • Check Outlook time zone settings. In classic Outlook, go to File > Options > Calendar > Time zones and confirm your time zone is correct.
  • Check the ICS file itself. Open the .ics file in a text editor and look for DTSTART and DTEND values. If they end in Z, they are in UTC. If they include TZID=, they reference a specific time zone. Missing time zone data can cause Outlook to assume the wrong zone.
  • Enable "When an appointment spans time zones" display in Outlook settings to see events with their original time zone info.
  • Use our ICS Validator to inspect the timezone data in your file and confirm it's well-formed.

Duplicate events after import

  • Importing the same file twice will create duplicates, as Outlook does not de-duplicate by default.
  • Check before importing by searching your calendar for one of the event names in the file.
  • Remove duplicates by sorting your calendar into list view (View > Change View > List), sorting by subject, and manually deleting duplicate entries.
  • Use "Open as New" instead of "Import" if you want to review events in a separate calendar before merging them.

"The operation failed" error

  • Run Outlook as administrator. Right-click the Outlook shortcut and select "Run as administrator."
  • Check if Outlook is in offline mode. Look for "Working Offline" in the status bar and click Send/Receive > Work Offline to go back online.
  • Repair Office. Go to Windows Settings > Apps > Microsoft 365 > Modify > Quick Repair.

"Not a valid calendar file" error

  • The file may have been corrupted during download or transfer. Re-download it from the source.
  • Open the file in a text editor — it must start with BEGIN:VCALENDAR and end with END:VCALENDAR. If it starts with HTML tags or gibberish, the download failed.
  • Run the file through our ICS Validator to get a detailed error report.

Events import but reminders/alarms are missing

  • Outlook may strip VALARM components from imported ICS files depending on your notification settings.
  • Check File > Options > Calendar > Default reminders to ensure reminders are enabled.
  • Some ICS files don't include alarm data at all. You can add default reminders to all events after importing by selecting them in list view and editing the reminder field in bulk.
